Service desk and helpdesk · Pro and Business plans

A helpdesk that lives next to the work it creates

Tickets, a customer portal, intake forms and SLAs inside the same workspace as your sprint boards and change requests. Customers are free, the price is flat, and the whole thing adapts to your team: software, marketing, HR, sales, finance or legal.

One-week free trial of paid plans. No card needed. Unlimited customers on every plan.

What you get

Everything a support team needs, without a second subscription

The service desk is part of Decuga, not an add-on. Each feature below is in the product today; the label shows the plan it starts on.

  • Pro

    Customer portal

A public self-service page per project, with your organisation name, a welcome message and support hours. Customers submit requests, see every ticket they have raised and follow its status, with no Decuga account.

  • Pro

    Intake forms

Build as many forms as you need (bugs, feature requests, billing) with short text, long text, dropdown, checkbox, date, email, phone and number fields. Mark fields required, and embed a form on your own site with an iframe.

  • Pro

    Tickets your team can work

Statuses from Open to Closed (including Pending and Awaiting reply), four priorities, assignees, labels, observers who are copied on updates, attachments, time logging and bulk actions across several tickets.

  • Pro

    Email in and out

Reporters are emailed when a ticket is received, when its status changes and when your team replies, with a link back to the portal. They can reply to the email and the reply lands on the ticket.

  • Pro

    Internal notes

Discuss a ticket with the team in a note that is never emailed, never shown in the portal and never counted as a first response. Mentions in a note still notify your teammates.

  • Pro

    Ticket automations

No-code rules that run when a ticket is created, changes status, is assigned or is resolved: assign it, set its status or priority, add a comment or send a webhook, filtered by company, form or reporter.

  • Pro

    Tickets linked to tasks

Link a ticket to the sprint tasks that fix it, from either side. Support sees progress, and the developer sees the customer behind the bug.

  • Pro

    Merge duplicates

When five customers report one outage, merge the tickets. The description and comments are copied to the surviving ticket, and the merged ones are marked as merged.

  • Business

    SLA rules and breach alerts

Set first-response and resolution targets per priority, with different targets for a given company. See what is due, what is late and why.

  • Business

    Company accounts

Group reporters by organisation to see every ticket from one client, the load they generate and the SLA they are promised. Essential for B2B support.

  • Business

    Service desk analytics

Ticket volume, response and resolution times, SLA compliance and team performance, so you can staff the queue with evidence.

  • Pro

    Assistant, Slack and MCP

Create, search, update and merge tickets in plain English from the dashboard, from Slack, or from an AI client over MCP, using your own permissions.

How a ticket moves

From first message to closed, with a record of every step

Every ticket follows the same path, and every change to it is written to its history with who did it and when.

  1. 1

    A request arrives

From the portal, an embedded form, email or the API. The reporter is created from their email address and gets a reference and a confirmation.

  2. 2

    It is routed

Defaults and automation rules set priority, assignee and SLA. The assignee is notified in the app, and in Slack if you have connected it.

  3. 3

    The team works it

Reply to the customer, add an internal note, log time, link the task that fixes it or merge it into a duplicate.

  4. 4

    The ball moves

Set Awaiting reply when you need the customer, Pending when you wait on something else. A customer reply moves it back to In progress.

  5. 5

    It is resolved

Mark it Resolved and the reporter is told. If they reply because it is not fixed, the ticket reopens.

  6. 6

    It is closed

A Closed ticket is read-only apart from comments. Reopening it is recorded in the ticket history.

Statuses are Open, In progress, Pending, Awaiting reply, Resolved and Closed, and a ticket that was merged into another is marked Merged. Priorities are Low, Medium, High and Urgent. A ticket records whether it arrived by web form, email or the API.

Adapts to your team

One service desk, six ways to use it

When you create a project you choose a template for your function. The service desk comes with it: a ready request form, the words your team uses, and the work it turns into. Each form is a starting point that you can edit, extend or replace.

How the service desk starts for each project template
TemplateStarter request formWho can submitWhere the work goes
SoftwareNone: build your own for bugs, feature requests and billingOpen to customersBug reports and feature requests become tasks on a sprint board, where GitHub and GitLab branches and pull requests link to them
MarketingMarketing Asset Request: asset type (social post, blog article, video, banner, email campaign, landing page, print), campaign name, audience, required deadline, brief, brand guidelines link, reference examplesOpen to customersRequests turn into work in Campaign Waves, in lanes such as In Production, Client Review, Ready to Publish and Published
HRHR Request: request type (leave, onboarding, offboarding, policy query, payroll and benefits, performance review, training), employee, department, manager, start date, detailsSign-in requiredHiring work runs through Applied, Phone Screen, Interview, Offer Extended and Hired
SalesSales Request: request type (demo, proposal, quote, contract review, account support, onboarding), account, contact, deal value, requested close date, requirementsOpen to customersDeal work runs through Prospecting, Qualified, Proposal Sent, Negotiation and Won
FinanceFinance Request: request type (invoice, expense claim, reimbursement, budget query, vendor payment, reconciliation), requestor, cost centre, amount, date needed, detailsSign-in requiredPeriod work runs through Pending, In Review, Approved, Processing and Closed
LegalLegal Request: request type (new matter, contract review, legal brief, compliance query, case support, document review), client, matter type, priority, contact email, detailsOpen to customersMatters run through Intake, Research, Drafting, Review and Filed & Closed

Forms that match the job

A request type dropdown, the fields your function always asks for, and required fields where a request is useless without them, such as a deadline or an amount.

Open or sign-in only

Customer-facing forms can be open to anyone. Internal forms, such as HR and Finance, require the submitter to confirm their email address before they can send a request.

Your words on the board

Sprint, backlog and epic are renamed for the template (a Campaign Wave, a Hiring Cohort, a Matter Phase), and the board lanes use your function’s language, such as Published, Hired, Won or Filed & Closed.

Use cases

Who uses the Decuga service desk, and for what

The same tickets, portal and forms serve very different teams. These are the setups we see most.

Software teams

Support that engineers can see

Customers report a problem in the portal. Support triages it, links it to a task on the sprint board, and the customer is emailed when it ships.

  • One bug, many tickets: merge them, link one task
  • Developers see the ticket, the customer and the history
  • A risky fix can go through a change request, linked to the ticket

B2B support and customer success

Service levels per client

Group reporters under their company, give your biggest accounts tighter response targets, and see which clients generate the most load.

  • Company accounts and per-company SLAs (Business)
  • Company ticket view for the client in the portal
  • Breach alerts before a promise is missed

Agencies and consultancies

A client request line that is not an inbox

Give every client one place to send change requests and questions, with a status they can check instead of emailing for an update.

  • A request form per service, embedded on the client site if you like
  • Observers keep the client’s stakeholders informed
  • Internal notes for what the client should not see

HR and people operations

An internal HR helpdesk

Employees ask for leave, onboarding or a policy answer through a form that needs sign-in, and HR works the queue with statuses and notes.

  • The HR Request form is ready on day one
  • Private notes for sensitive detail
  • Automations to assign by request type

Finance teams

Invoices, expenses and vendor payments in one queue

Stop chasing finance through email. Requestors submit with the amount, cost centre and date needed, and finance sees what is waiting and for whom.

  • The Finance Request form is ready on day one
  • Awaiting reply status when information is missing
  • SLA targets by priority for month-end

Legal and compliance

Matter intake and document review

Intake new matters and contract reviews through a structured form with matter type and priority, then work them through Intake, Research, Drafting and Review.

  • The Legal Request form is ready on day one
  • Internal notes stay off the client-facing record
  • Link the matter’s tasks to the request

Marketing teams

Asset requests with a deadline

Stop taking briefs in chat. Colleagues request an asset with the campaign, audience and a required deadline, and marketing works it through production.

  • The Marketing Asset Request form is ready on day one
  • Required deadline field on every request
  • Everything for a campaign linked in one place

Sales operations

Demo, proposal and quote requests

Reps and prospects ask for a demo, a proposal or a quote through one form, with the account and the requested close date attached.

  • The Sales Request form is ready on day one
  • Route by request type with automation rules
  • Deal work visible on the Deal Pipeline

Service levels

SLAs that you can promise and actually track

Available on the Business plan. A target you cannot see is a target you will miss, so Decuga shows the clock on the ticket and reports on it.

How targets are set

  • A first-response target and a resolution target for each priority
  • Optional targets for one company, which win over the default for that company
  • Only one SLA per priority and company, so two can never conflict
  • The clock runs from the moment the ticket is created

What you see

  • A due time on every ticket and a clear flag when it is late
  • The first team reply stops the first-response clock; an internal note does not
  • Breach alerts when a ticket misses its SLA
  • Analytics on compliance, response and resolution times

Part of one workspace

The ticket, the task, the fix and the release in one place

Because the service desk shares an account with project management and change management, work does not have to be copied between tools.

  • Tasks

Link tickets to sprint tasks and see both sides. Bugs reach the board without retyping.

  • Rich replies and files

Reply with formatting, lists and links in the same editor as task descriptions, and attach files and screenshots to a ticket.

  • Slack and your team

Ticket events go to a channel you choose, with direct messages to the assignee. Mention teammates in internal notes.

  • Webhooks and channels

Send ticket events to your own systems with automation rules and webhooks. Every ticket records whether it came from the web, email or the API.

  • Labels and search

Label tickets and find any ticket by its number, title or reporter from the ticket list.

  • Change requests

When a fix is risky, link the ticket to a change request with an approval and a rollback plan.

Service desk questions

Is Decuga a helpdesk, or only a project management tool?
Both. Decuga includes a full service desk: tickets, intake forms, a customer portal, internal notes, automations and, on the Business plan, SLAs, company accounts and analytics. Because it sits in the same workspace as your sprint boards, a ticket can be linked to the task that fixes it.
Do my customers need an account or a paid seat?
No. Customers submit and follow requests through the portal with their email address. They are reporters, not team members, and there is no limit on how many you have. Only your own team members count toward the plan limit.
Which plan includes the service desk?
The service desk, customer portal, intake forms and ticket automations are included from the Pro plan ($28 a month for up to 20 team members). The Business plan, from $57 a month for up to 50 team members, adds SLA rules and breach alerts, company accounts and service desk analytics. Prices are flat per account, not per agent.
Can I use it for internal requests such as HR, finance or legal?
Yes. Each non-software project template starts with a request form for its function (HR Request, Finance Request, Legal Request, Sales Request, Marketing Asset Request). A form can require sign-in, so an HR or finance form is only open to people who have confirmed their email address.
How do SLAs work?
On the Business plan you set the time allowed to a first response and to a resolution for each priority (Low, Medium, High, Urgent), and you can set different targets for a specific company. The clock runs from the moment a ticket is created. Decuga flags breaches and reports on them in service desk analytics.
Can customers reply by email?
Customers receive a confirmation when they submit a ticket and an email for each team reply and status change. They can answer from the portal or by replying to the email, and the reply is added to the ticket. Internal notes are never emailed or shown in the portal.
Can I turn a ticket into engineering work?
Yes. A ticket can be linked to one or more tasks in the same project, from either side, so you can see the customer problem next to the sprint task that resolves it. A ticket can also be linked from a change request.
Can I embed a request form on my own website?
Yes. Every form has an embed code (an iframe), so customers can submit a ticket from inside your site or product without leaving it.
Can I move over from Zendesk or Freshdesk?
There is no importer from those products today, but if you are on a paid plan you can ask us to add a migration from Zendesk or Freshdesk, and we will add it within a week. Teams usually switch new tickets first and keep the old queue until it is empty. A Jira Service Management project can be imported as service desk tickets. See our comparisons with Zendesk and Freshdesk for a cost and feature view.
